Privacy Policy

Last updated: 2 September 2026

Sloted (“Sloted”, “we”, “us”, “our”) is operated by The Ron Labs ABN 18 896 790 839, a sole trader based in New South Wales, Australia.

This policy explains what personal information we collect through sloted.co (the “Service”), why we collect it, how we use it, who we share it with, and the choices available to you.

Where the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) apply to us, we comply with them. Some small businesses are exempt from the Privacy Act. Regardless of whether an exemption applies to Sloted, we aim to handle personal information consistently with the privacy practices described in this policy.

If anything here is unclear, contact us at support@sloted.co.

1. Who this policy covers

This policy applies to everyone who uses Sloted.

You do not need an account to respond to a schedule request. An account is optional for organisers and is used to sign in and manage requests they have created.

2. What we collect

We collect information needed to operate the scheduling service, provide its features, keep it secure, and understand how it is performing.

We do not collect payment information because Sloted does not currently process payments.

Account information

If you create an account, we may collect:

You may also sign in using a one-time email link.

Schedule request information

When an organiser creates a schedule request, we may collect:

Participant information

When someone responds to a schedule request, we may collect:

A participant’s information may sometimes be provided by an organiser, for example when the organiser enters a participant’s email address for an invitation or reminder.

Availability data

Availability can be provided in several ways.

Manual entry

A participant can mark individual time slots as:

“If needed” means the participant would prefer to avoid that time but could make it work if necessary.

Plain-language availability

A participant can type a description of their availability, such as “free most evenings except Tuesday”.

That text is sent to our AI provider, OpenAI, so it can be converted into suggested grid entries.

The suggested result is always shown to the participant for confirmation or editing before it is submitted as their availability.

Connected calendar

If a participant connects Google Calendar, Sloted requests read-only access to the calendar information needed to determine whether relevant times are free or busy.

We use free/busy information for the relevant scheduling period.

We do not access Google Calendar event titles, descriptions, attendees, or locations.

Google Calendar information is used only to provide the calendar availability feature. We do not use it for advertising and we do not send Google Calendar data to our AI provider for plain-language parsing.

You can disconnect Google Calendar at any time through Sloted or through your Google account permissions.

Participant weighting

An organiser can mark particular participants as “must-have” when Sloted ranks possible meeting times.

This uses the participant information already associated with the schedule request and does not require a separate category of personal information.

Technical and usage information

We may also collect:

We use this information for security, debugging, performance monitoring, and understanding general product usage.

We do not use it to build individual advertising profiles.

3. How we use your information

We may use personal information to:

We do not sell personal information.

We do not use availability information or Google Calendar information to serve advertising.

4. Third-party services we use

We use third-party providers to operate Sloted.

We provide them with information only to the extent reasonably needed for the relevant service.

5. Storage and security

Personal information used by Sloted is stored using infrastructure provided through Vercel, including a Postgres database.

Access to organiser and participant information within a schedule request is controlled using private links or tokens rather than publicly searchable identifiers.

Anyone who obtains a private organiser, participant, or edit link may be able to access information associated with that link. You should therefore avoid sharing private links with people who are not intended to have access.

We take reasonable technical and organisational measures to protect personal information against misuse, interference, loss, unauthorised access, modification, and disclosure.

No online service can guarantee absolute security.

6. Data retention and deletion

We retain schedule request, participant, and availability information while it is reasonably needed to provide the Service and for a limited period afterward where it may still be needed for legitimate operational, security, or support purposes.

Account information is generally retained while the account remains active.

We may also retain limited information where reasonably necessary for security, fraud prevention, legal compliance, dispute resolution, or technical backup purposes.

Where the Privacy Act applies, we take reasonable steps to destroy or de-identify personal information when we no longer need it for a permitted purpose and we are not legally required to retain it.

You may also ask us to delete personal information associated with you by contacting support@sloted.co.

Where possible and appropriate, we will honour deletion requests even where there is no statutory right requiring deletion.
